POSITION SUMMARY

The Membership Coordinator is an accuracy-first, admin-heavy role that keeps the NCVC membership engine of 1,200+ members and partners running. You will maintain clean member data, process new member creations and renewals, prepare lists and reports, support meetings and events, and serve as a responsive first point of contact for members—ensuring benefits are fulfilled and the Music City brand is represented with professionalism. 

As part of the team powering one of Nashville’s leading economic drivers, you’ll help connect partners to programs and research that amplify the impact of hospitality across our community. This role supports members in activating tangible benefits and embracing the Music City brand to tell the story of Nashville. 

KEY RESPONSIBILITIES

  • Maintain accurate, timely member data (CRM/Simpleview): contact updates, account updates, notes, traces, prospect pipelines, and benefit fulfillment tracking including PR press clippings
  • Advance member retention through precise renewal administration: monitor dues, run aging reports, send reminders, coordinate follow-ups and payments, and track results
  • Coordinate event calendars, member meeting logistics, agendas, and materials; prepare registration, name badges, and follow-up actions for attendance
  • Triage the membership inbox and basic member queries; provide clear, professional responses and escalating issues as needed
  • Build recurring lists/dashboards (events, segments, benefit usage) and deliver monthly accuracy and activity reports
  • Update and maintain membership marketing collateral and creative request routing for the department 

REQUIRED SKILLS

  • Exceptional attention to detail and strong organizational skills
  • Proficiency Microsoft Office/Teams; prior CRM experience a plus
  • Clear written/verbal communication and polished, service-oriented demeanor with members and partners
  • Ability to manage multiple priorities, deadlines, and confidential information with discretion
  • Team player who embraces the Music City brand and collaborative culture across departments and the greater hospitality community

QUALIFICATIONS

  • Prior experience in a coordinator role and/or within the hospitality industry a plus, but not required
  • Demonstrated accuracy in data entry and digital file management
  • Comfort using checklists, AI and pre-approved templates to deliver consistent outcomes at scale
  • Familiarity with small event coordination and client/customer support

OTHER DUTIES AND RESPONSIBILITIES OF THE JOB 

  • Required to work for company events such as: New Year’s Eve and July 4th
  • Occasional requests to work/attend events during non-business hours (evenings and weekends)
  • May be requested to work extra hours for special projects as needed
