A schedule of staffing or concierge needs should be emailed or faxed to the Nashville CVC Convention Services Department at least 30 days prior to start of convention. The schedule must include contact person, job duties, dates and times needed, and specific reporting location in the hotel or convention center.
To give your visitors the information they need to have an enjoyable visit in Music City, we can assist you in scheduling a Nashville concierge. The NCVC will provide complimentary custom maps, attraction brochures, and menus to help with answering attendee questions, giving directions, and making restaurant suggestions.
Staffing Clerk: $17 per hour
Concierge: $17.50 per hour
Supervisor: $19 per hour
Orders placed within two weeks of the first day of the convention are subject to the following rate increase schedule:
$21 per hour – Nashville CVC Clerks
$21.50 per hour – Nashville CVC Concierge
$23 per hour – Nashville CVC Supervisor
Rates subject to change.
Hours over 40 per calendar week (Sunday through Saturday) will be billed at time and a half.
Holiday hours will be billed at time and a half.
Minimum assistance is four hours per shift per day.
When incurred, parking charges will appear on your invoice.
Invoices will reflect actual hours worked by registration personnel.
Under Tennessee law, breaks must be 15 minutes, paid each half day with 30-minute paid lunch break (based on an eight-hour day).
Nashville CVC Registration Clerks will wear professional uniforms consisting of white collared shirt, black pants or skirt, black blazer, and a nametag.
If we are unable to fill all of the positions you request, we will be happy to secure personnel from a temporary agency on your behalf. Please note that temporary agencies will charge a higher hourly rate (approximately $30 per hour).
All changes must be submitted in writing
48 business hours in advance of earliest
start time. Any time changes made within
24 hours or on the weekend may be made
directly with the registration personnel,
however the convention services coordinator
must be notified of the change by voice mail.
If a cancellation (of the entire contract is made to an order originally placed outside of the 2-week period prior to the first day of the convention job, the deposit will be returned in full with no penalties as long as the cancellations occur prior to 48 hours from the start of the staffing. Any cancellations of orders within the 48-hour period will result in the loss of the full deposit.
If a cancellation is made to an order (of the entire contract) placed within the 2 week period prior to the first day of the convention job, the cancellation will result in the loss of the full deposit amount.
Any cancellation or shortening of a scheduled clerk shift occurring 24 hours or less prior to the scheduled shift start time will be subject to charges of the full scheduled shift per canceled clerk.
For all invoices totaling $2,000 or more, a deposit of 25% for the total estimated bill will be due 15 days prior to the first day of registration. The remainder of the amount owed will be due within 30 days of the final day of scheduled clerks.
